Privacy and cookie policy

Hope Education Project is a UK registered charity. This page explains what personal information we collect through this website, why we collect it, who we share it with, how long we keep it, and what rights you have. It also explains how we use cookies. We have written it in plain language.

Who we are

Hope Education Project is a Charitable Incorporated Organisation registered with the Charity Commission for England and Wales (charity number 1215347). We are the controller of the personal information described on this page.

We work alongside Hope Education Project Ghana, a non-profit organisation registered in Ghana, and Hope Education Project USA, a 501(c)(3) non-profit registered in the United States. Where the Ghana team handles personal information in Ghana, it does so under the Ghana Data Protection Act, 2012 (Act 843).

Our address is Knapp Cottage, Wylde Court Hill, Hampstead Norreys, Berkshire, RG18 0TN. To contact us about anything on this page, email [email protected].

The short version

  • We collect what you give us: a message, a mailing-list sign-up, or a donation.
  • We do not sell your information.
  • Analytics and advertising cookies are used only if you agree. A banner asks you, and nothing from Google or Meta loads until you choose.
  • Some content comes from other companies (a donation form, videos, a map). We explain below when that happens.
  • You can ask us for your information, ask us to correct or delete it, or stop us contacting you, at any time.

What we collect, and why

If you send us a message through the contact form or by email

We collect the details you give us: your name, email address, organisation (if any), the subject and your message. We use them to reply to you and to keep a record of the enquiry. We rely on our legitimate interest in answering people who contact us. Messages sent through the form are delivered to us by Web3Forms, a form service.

If you tell us about your own experience of trafficking or exploitation

Some people who contact us share their own experience of trafficking, exploitation or abuse, or that of someone close to them. This is sensitive information and we treat it in confidence. We use it only to respond to you and, if you ask, to help you find support. We will not share it with anyone without your agreement, unless we believe someone is at serious risk of harm, when we may need to pass information to the police or child protection services to keep them safe. We rely on your explicit consent, or, where someone is at risk, on the safeguarding provisions of data protection law.

If you join our mailing list

We collect your email address, and your name and phone number if you choose to give them. We use them to send you occasional updates about our work. We rely on your consent, which you give when you subscribe and can withdraw at any time using the unsubscribe link in every email, or by contacting us. Your details are held by Mailchimp, our email service.

If you donate

Donations are taken through Donorbox and its payment providers. We receive the details needed to record your gift and thank you, and, if you make a Gift Aid declaration, the details we need to reclaim Gift Aid from HMRC. We rely on our legal obligations (for example, keeping Gift Aid and accounting records) and our legitimate interest in managing donations. We never see or store your full card details.

If you volunteer, partner with us or work with us

We collect the information you give us when we arrange or carry out the work together, and use it for that purpose. We rely on our legitimate interests, or on a contract where one is in place.

If you simply visit this website

Our website is hosted by Cloudflare. Like every web host, Cloudflare’s servers process technical information such as your IP address, browser type and the pages requested, to deliver the pages and keep the site secure. We use Cloudflare Web Analytics to count visits. It does not use cookies and does not follow you across other websites; it records only basic, anonymous information such as the page viewed, the country, the type of device and the referring site. We rely on our legitimate interest in understanding how many people use the site. If you also agree to analytics or marketing cookies (see Cookies below), we collect more detail about how you use the site and which of our adverts brought you here.

Cookies

A cookie is a small file that a website stores on your device. When you first visit, a banner asks whether you accept analytics and marketing cookies. You can accept all, reject all, or choose. Rejecting is as easy as accepting, and nothing from Google or Meta loads until you agree. You can change your mind at any time using Cookie settings in the footer of every page.

Essential. The site works without cookies, and sets none of its own apart from remembering your cookie choice on your device.

Cookie-free counting. Cloudflare Web Analytics counts visits without using cookies, so it runs whatever you choose in the banner.

Analytics (only if you agree). We use Google Analytics to see how many people visit, which pages they find useful and roughly where they are in the world. It uses cookies and collects information such as your pages viewed, device and approximate location. We use the results to improve the site.

Marketing (only if you agree). We use the Meta Pixel (Facebook and Instagram) and, when we run them, Google Ads tools to measure how well our adverts work and to show our work to people who may care about it. These tools use cookies and may share information about your visit with Meta or Google, who may use it for their own purposes under their own privacy policies.

Some parts of the site also load content from other companies, which may set their own cookies or collect information such as your IP address when that content loads:

  • Donation form (Donorbox). The donation form loads from Donorbox only when you press Open the donation form; until then nothing is requested from Donorbox. Once it loads, Donorbox and its payment providers may set cookies needed to process your donation securely.
  • Videos (YouTube). Some video thumbnails come from YouTube’s image servers as you scroll to them. The video itself, which uses YouTube’s privacy-enhanced mode, loads only when you press play. Some videos are links that open on YouTube’s own site.
  • Map (OpenStreetMap). The map on our Contact page is provided by OpenStreetMap and loads as you scroll to it. It is locked until you click, so scrolling past does not move it.
  • Links to other sites. Social media, Google Maps and other sites we link to have their own privacy and cookie policies.

You can also control or delete cookies in your browser settings. Blocking cookies from the donation form may stop it from working.

Who we share information with

We do not sell your information. Our own team in Ghana, Hope Education Project Ghana, can see enquiries and mailing-list details where they need to in order to reply to you or run our programs; they keep them confidential and handle them under Ghana’s Data Protection Act, 2012. We also use a small number of trusted companies to run our services, and they handle your information only on our behalf and for those purposes: Cloudflare (website hosting), Web3Forms (contact form delivery), Mailchimp, which is part of Intuit (mailing list), Donorbox (donations) and, if you agree to cookies, Google (analytics and advertising measurement) and Meta (advertising measurement). We may also share information where the law requires it, for example with HMRC for Gift Aid or the Charity Commission.

Some of these companies are based in the United States or elsewhere outside the UK, and our Ghana team works in Ghana. Where personal information goes outside the UK, we rely on the safeguards the companies provide for transfers from the UK and, for our Ghana team, on a written agreement that requires them to protect it to the same standard as we do.

How long we keep it

  • Enquiries: for as long as we need to deal with them, and not longer than two years after our last contact with you.
  • Mailing list: until you unsubscribe, after which we keep only a note that you opted out so we do not email you again.
  • Donations and Gift Aid records: for at least six years, as the law requires.

Photographs and children

Photographs on this website are published with the consent of the people photographed and, for children, of their parents or guardians and of the schools involved. We do not publish children’s names. If you are in a photograph and want it changed or removed, please contact us and we will act promptly.

Your rights

Under UK data protection law you have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw your consent at any time. To use any of these rights, email [email protected]. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
